Privacy Policy

This policy explains how PORTIS CLOUD SOLUTIONS, operating the Portis service, collects, uses, discloses, and protects personal information.

1. Who we are

Portis is operated by PORTIS CLOUD SOLUTIONS, an Ontario registered sole proprietorship, owned and operated by Abizer Hussein Jafferjee. Our Ontario Business Identification Number (BIN) is 1001490494. Our business address is 609 Sonmarg Crescent, Nepean, Ontario K2J 7A3, Canada.

In this policy, “Portis,” “we,” “us,” and “our” refer to PORTIS CLOUD SOLUTIONS.

2. Scope and our role

This policy applies to our website, Portis accounts, customer support, and the Portis customer-conversation platform. Portis helps businesses manage conversations across websites, email, social media, and messaging services.

We generally control personal information used to administer accounts, operate our website, and communicate with prospective customers. When we process conversation data for a Portis customer, that customer determines why and how the data is used, and we process it on the customer's behalf. End users should contact the relevant Portis customer first about their data.

3. Information we collect

  • Account and business information, such as names, work emails, phone numbers, organization details, login identifiers, plan, and billing-related records.
  • Inquiry and support information submitted through forms, email, phone, WhatsApp, demonstrations, or support requests.
  • Customer content, including connected-channel messages, contact details, documents, instructions, knowledge-base content, conversation history, and workflow results.
  • Integration data made available when a customer connects a service such as Meta products, WhatsApp, Instagram, Messenger, or Microsoft Outlook.
  • Technical and usage data, such as IP address, browser and device information, timestamps, pages viewed, feature usage, diagnostics, and security events.
  • Cookies and similar technologies used for essential site functions, analytics, product improvement, and security.

4. How we use information

  • Provide, configure, maintain, and secure Portis.
  • Process customer conversations and carry out customer-selected automations and integrations.
  • Create and administer accounts, respond to inquiries, provide support, and communicate service notices.
  • Monitor reliability, prevent abuse, troubleshoot problems, and improve product performance and user experience.
  • Enforce agreements, comply with law, and establish or defend legal claims.
  • Send marketing communications where permitted. Recipients may unsubscribe at any time using the message instructions or by contacting us.

We use personal information with consent, to provide a requested service, for reasonable business purposes permitted by law, or where otherwise required or authorized by law.

5. AI and automated processing

Portis uses automated systems, which may include artificial intelligence, to analyze inputs and generate replies, summaries, classifications, or workflow actions based on customer instructions. Automated output can be incomplete or incorrect. Customers are responsible for configuring appropriate review, escalation, and human oversight for their use case.

6. When we disclose information

We do not sell personal information. We may disclose it:

  • To hosting, infrastructure, analytics, communications, authentication, payment, support, and AI service providers that help us operate Portis.
  • To integration providers selected by a customer, including Meta and Microsoft services, as needed to provide the connected functionality.
  • To professional advisers or authorities where reasonably necessary to comply with law, protect rights and safety, or investigate fraud or security incidents.
  • In connection with a financing, sale, reorganization, or transfer of all or part of the business, subject to appropriate confidentiality protections.
  • At the direction of, or with consent from, the customer or individual.

7. Connected third-party services

When a customer connects a third-party channel, information may be exchanged with that provider under the customer's instructions. The provider's own terms and privacy policy also apply. Disconnecting an integration stops new access through that connection but does not automatically delete information already processed or retained as required for the service.

8. International processing

We and our service providers may process information in Canada, the United States, and other countries where providers operate. Information may therefore be subject to the laws and lawful access requirements of those jurisdictions. We use contractual and organizational measures appropriate to the services involved.

9. Retention

We retain information for as long as reasonably necessary to provide the service, meet contractual commitments, maintain security and business records, resolve disputes, and comply with law. Retention varies by data type, customer configuration, and legal requirements. We delete or de-identify information when it is no longer reasonably required, subject to backups and lawful retention obligations.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet service or storage system is completely secure, so we cannot guarantee absolute security. Customers must protect their credentials and promptly notify us of suspected unauthorized access.

11. Your choices and privacy requests

Subject to applicable law, individuals may request access to or correction of their personal information, ask about our use and disclosure of it, withdraw consent where consent is the basis for processing, or request deletion. Some requests may be limited by legal, security, contractual, or record-retention requirements.

To exercise a privacy right, email abizer@portiscloud.com. We may need to verify identity and authority before completing a request. If Portis processed your information for one of our customers, we may direct the request to that customer.

12. Children

Portis is a business service and is not directed to children. We do not knowingly collect personal information directly from children through our website or account-registration process.

13. Changes to this policy

We may update this policy as our services or legal obligations change. We will post the revised policy here and update the effective date. Material changes may also be communicated through the service or by email where appropriate.
